Volunteer Information and Roles

Each year we reach out to staff across the college to assist with providing our graduates with a wonderful celebration of their achievements during Convocation. Each ceremony we have around 100 volunteers helping with all aspects of the ceremony. Below is a listing of all the areas we require assistance with and some general information with regards to the various tasks that volunteers will perform, arrival times, additional requirements etc. Volunteers who are working two consecutive ceremonies or the evening ceremony will receive a ticket for lunch or dinner.

The R Team

Start time: This position starts an hour and a half prior to the start of each ceremony.

End time: This position starts to wrap up 10 minutes after a ceremony has started.

Description: Located in the Student Centre, graduates present their identification at the Registration Desk when they first arrive for their ceremony. The R Team volunteers distribute processional and gowning cards to graduates and provide direction.

Dress: Volunteers can wear what they normally wear to work, student volunteers will be wearing their green t-shirts. Please wear comfortable footwear.

Fashion Facilitator

Start time: This position starts an hour and a half prior to the start of each ceremony.

End time: This position breaks during the ceremony then starts again. It finishes approximately 45 minutes after the end of a ceremony.

Description: Fashion Facilitators distribute gowns to students in exchange for a gowning card. Fashion Facilitators then direct graduates to the marshalling area. After the convocation ceremony, Fashion Facilitators will collect the gowns and prepare them for the next ceremony.

Dress: Volunteers can wear what they normally wear to work, student volunteers will be wearing their green t-shirts. Please wear comfortable footwear. 

Directing Important Grads (DIG)

Start time: This position starts an 45 minutes prior the start of each ceremony.

End time: This position ends once all the graduates are escorted out of the gym.

Description: Located at the North East corner of the Athletic and Wellness Centre (AWC) just outside of the Athletic Department offices. The DIG team are responsible for assembling graduates by their programs in alphabetical order. Once the ceremony begins, the DIG team lead the graduating students into the AWC, ensuring they are seated together in front of the stage. They will direct the graduates during the ceremony and lead them out at the end of the ceremony.

Dress: The DIG team will need to pick up a black gown from the faculty gowning area located in the Mezzanine of the Student Centre, along with a gold Marshal Stole or liripipe. Wear light clothing underneath and comfortable shoes.

Sit Team

Start time: This position starts an 45 minutes prior the start of each ceremony.

End time: This position ends once all of the guests have exited the gym following a ceremony. Approximately 10 minutes after the end of a ceremony.

Description: The Sit Team collect seating tickets, provide directions, distribute programs, and assist guests in finding their seats. The Sit Team also assist those with special needs and ensure aisles are unobstructed. They also encourage and remind our guests to stay in their seats during the ceremony. Following the ceremony, the Sit Team straighten up the chairs and place new program books on the chairs in preparation for the next ceremony.

Dress: The Sit Team will be given an identifying golf shirt to wear during their shifts, you will get to keep this shirt. Please wear comfortable shoes and professional pants, shorts or skirt. Shirts can be picked up on training day or in the graduate registration area on the day of the ceremony.
